Jan 3rd - 5th: The Citation Room is on the second floor of the Embassy Suites Convention Center. You will need to arrive fifteen minutes before your shift begins, unless you already know where you are going and what you will be doing!

Wristbands will be provided at volunteer orientation or whenever you come to the volunteer room for your first shift of the conference. Wristbands need to be worn at all times throughout the conference.

  • Coat/gloves (may be outside)

Personal Items

There is a Volunteer Room (Citation Room) where you can leave your belongings, but it won’t be locked, so please avoid bringing valuables.

EMERGENCY MANAGEMENT

Emergencies and crises on-site are extremely rare, but here’s what to know to be prepared.

Emergencies may include:

  • Medical emergencies

  • Theft or vandalism

  • Exhibit crisis (fire, bomb threats, active shooter, etc.)

  • Local issues with property management or neighboring retailers

Emergency procedures:

  • Contact the Volunteer Coordinator immediately and communicate the issue if the problem is not life-threatening.

  • If it’s an emergency, please contact the EMT or Police on-site. Contact information will be provided to you by the Volunteer Coordinator when you check in that day.

  • Remain calm, use common sense and follow all instructions from emergency response teams.

  • Get the facts. Be prepared to provide detailed information for StuMo to draft a statement if needed.

Professional demeanor:

  • Regardless of circumstances, in every crisis or emergency situation it’s important that all SMC volunteers and staff demonstrate a sense of compassion and a commitment to safety.

  • Additionally, volunteers and staff should demonstrate empathy for the situation and communicate that action is being taken to contain or resolve the issue.

HEALTH + SAFETY

We will be following recommendations from city and state agencies for our Covid-19 protocols. Currently, masks not required, and there is no vaccine requirement in Collin County or the state of Texas. However, masks are welcome if individuals choose to wear one.

For anyone who has Covid-19, Covid-19 symptoms, or know you've been exposed to Covid-19 recently before the conference, we ask that you please do not attend SMC 2022.

VOLUNTEER ROLES

Check-In Team

Getting over 2,000 students checked into different hotels in two hours takes a lot of help, but we’re confident it can run really smoothly! Volunteers will be assigned to either of these two areas:

  1. Hotel Check-in Crew – paired with StuMo staff to check students in at one of the hotels.

  2. Holding welcome signs to welcome the students and point them in the direction that they may need to go!

Serve Team

The SMC schedule is packed with lots of different events, sessions and activities! With so many moving parts, volunteers are a huge help to pulling these all off with excellence! Volunteers will serve in various roles around the conference, such as helping students navigate the new location, crowd control, getting in and out of the arena, working in the SMC Store, etc.

Night Life Team

Volunteers on the night life team will serve by helping with the kick-off dinner, working the water stations at the basketball and volleyball tournaments, overseeing ice skating/bowling, etc.
